Sort gmail messages by read/unread

images.gif One of the main functionalities that lacking gmail is it’s sort functionalities by read and unread respectively. One tricky mechanism is there to for doing this. On the search textbox type “is:unread” to sort unread messages and “is:read” for read messages respectively. The feature is very useful for users, yahoo’s support is very much friendly for users. Here is a mechanism to do this in gmail.

When we search using the above query then we will get the result as unread messages in descending order.

Again what we do to search all read messages.

The results will be read mails in descending order.

Like wise we can apply different combination of search criteria in the search box. For eg: “is:unread label:inbox” will query the unread messages with label “inbox”. This is very helpful for power users. Why google is not implementing UI for this to attract normal users.

Is google mainly targeting power users ?

Exclude gmail chat conversation from search result

Weird of seeing chat result while you search particular content in your gmail ? Here is a solution for it. You can exclude any folder using a string append to the search string, “-label:folder name”. For example you need to exclude chat conversation by simply adding the string “-label:chat” with search string. Below figures demonstrate it.

With label criteria. You can see that chat conversation is excluded from the search result. Like wise you can exclude any labels. If you have a label “forwards”, and that need to be exclude while searching do add a string ” -label:forwards” along with the search string.

Firefox extension for gmail chat

Use firefox extension for gmail chat instead of webchat available with gmail. After installing the gtalk sidebar firefox extension add a button on the tool bar as below.

Drag drop the button to tool bar. The new icon will open the gmail chat as a sidebar. If we close the sidebar we will automatically signed off. The gadget can open multiple tab for individual chat in the client, overall cool extension.

Search gmail message during a period of time

Gmail is one of the best email client available online, moreover slew people are using the application as there email client. This email client provide vast variety of search option for searching the email in the mail box. I am going to explain how is it possible to sort emails within particular period of time. This is one best features that add more value to business, professional people because they have to regularly check the emails sent by different peoples.

On the search text box type the period with keywords after and before, I will explain it with an example.

For eg: If you need to search email after 2008/04/16 and before 2008/04/18, email between 2 days. Type “after:2008/04/16 before:2008/04/18“, moreover if you need to include some other criteria like email with particular keyword just include that keyword with a space after the format.

How to create your own notes using gmail?

gmail logoI am sure slew people are using gmail as there email client. I know lot of peoples shifted to gmail from other providers mainly due to its usability. Now I am going to explain how to make your gmail account as an application to store your notes online, however this is a tricky mechanism but I guess it is useful for employees who regularly use Notes.

There are mainly 3 step to make your gmail account a Notes Store.

Step 1)

Add a contact with name as “Notes” and an email address “yourusername+Notes@gmail.com”. Click on the “Contacts” link on the left side of your mail box, will load the contact window. Click on the first ‘+’ icon which has a menu tip of “New Contact”.

Step 2)

After entering the name as “Notes” and email address as “yourusername+Notes@gmail.com”, please click on the save button. It will add the new contact.

Step 3)

Create a Label “Notes”. Go to Settings->Labels enter the label “Notes” at the bottom and click create button.

Step 4)

Create a Filter. Go to Settings->Filters->Create a new filter (on the bottom). During filter creation add the “To:” field as “yourusername+Notes@gmail.com” and click on the button labeled “Next Step”. In the next window check the checkbox with label “(Archive it)” and “Apply the Label:”, from the drop down select “Notes” and click on the button with label “Create Filter”.

Now let me explain the denouement of this magic. You know gmail accepts email address with format “YourUsername+AnyLabel@gmail.com”. The ultimate thing is that your gmail will accept all email address with format as above. For eg: send any email as per above format from another email address and watch whether it receives your mail box.

How to check who sold your email address to spammers?

A lot of websites are selling email address to spammers. Here is a workaround how to find those who sell your email address to spammers by using gmail address while registering in websites.

I am using the same magic for which I used to create your notes using gmail account.

In normal case famous websites are selling these email address to spammers. So while registering in websites use the combination of user name + website name@gmail.com.

Suppose your gmail user name is `user` and website you registering is `http://www.xyz.com`, then while entering the email address in registration field use the combination user+xyz@gmail.com. As I mentioned in my earlier post that gmail won’t recognize anything after a `+` symbol. If there is any confirmation mail for registration it will definitely reach your mail box.

When ever you get a spam mail check out the ‘show details’ that will reveal you who sell your email address to spammers.

So next time while registering in sites use the combination I suggested and try to find out who all are selling those email address to spammers and do comment those websites here. So that we can collect the database.

How to start group chat using gmail webchat

It released some times back but I saw it today. I was wondering why I use google chat gadget for group chat. I feel really ashamed about me. Anyways let me explain how to start a group chat using gmail web chat. Click the option menu available when chatting.

Superstars in gmail

All of us need to flag some of the important emails, thats why email clients provide the facility for flagging or starring. But what will do if we need to prioritizes the starred emails?

Team gmail recently enabled a feature called superstars, which provide us facility to add priority by assigning different labels accordingly upon our priority. There are 12 icon for assigning priorities. It is enabled as a Lab feature.

How to enable superstars?

As I mentioned that it is enabled as Lab feature. Click on the Setting link on the top right corner of your mailbox. On the setting window click on the Lab tab. On the Lab tab select the Enable radio button labeled Superstars and save the setting.

Insert inline image in gmail

Gmail is one the coolest email client available. But it lacks an important feature. We can attach files but we are not able to add inline images in editor.

I will suggest a work around for this. But this is not much friendly moreover we need to carry some extra steps to attain inline imaging facility. We can exploit the rich text formatting of the gmail mail composing editor.

Steps to be carried out to attach an inline Image

(1) Upload image to some image hosting server like picasa, flickr or mobshare.

(2) Open the uploaded image in your web browser.

(3) Right click the mouse and click on the view image menu.

(4) Hit Ctrl-A then Ctrl-C. (This will copy the image to the clipboard)

(5) Open the compose gmail window.

(6) Make sure the rich text formatting is on in the gmail compose editor (Check out the red rounded part in the image above).

(7) Place your cursor into the place where your image need to appear.

(8) Hit Ctrl-V (This will paste the image into the editor).

Pictures in gmail chat

Gmail web chat is the coolest chatting application I have ever seen. But I had some bad experience while using google web chat. The google web chat shows that status of the online user by displaying the name. In my messenger list I had more than one person with same name. Since it shows name in the chat list I misunderstood some person and talked about the other person.

But gmail recently released a feature called “Pictures in gmail chat”. This feature solves my problem. If this feature is enabled, along with name picture also get displayed in the conversation.
