How to setup google docs for offline access?

Written on April 22, 2008 – 11:22 am | by Sanil S

Hurray….when I opened my google docs today morning I got offline functionality enabled for my account. I was looking for this, couple of days back. I got some information from a forum that only limited people got functionality available for the time being. Anyways I am happy that I got access for it now.

Let me explain the steps to enable offline access for your google document and spreadsheets.

Before going to this process if you haven’t install google gear install it.

Step 1)

Click on the link ‘offline’ on the top right of your google docs. You will get a pop up like below. Click on the check box and mark google doc as a trusted site.

Step 2)

Click on the enable offline access button. After clicking the button you will get another pop up

Step 3)

Create desktop shortcut for google doc. After allowing this it will start synchronization, that is a sluggish process. Don’t worry it will complete in some minutes.

After some time you will get a tick mark on the top right, that means your google doc is downloaded to your local machine. Disconnect your internet connection and go some place where you don’t have a internet access. Click on the google docs icon on your desktop.

Some basic tips.

The offline access is system dependent. If you need to access from different system you need to repeat the same process in all the system.
The offline access is browser dependent. You can’t share it with IE, mozilla, since data are saved in different folder.
The offline access is operating system dependent. You can’t share between operating system.

Now why should I care for desktop office? Google overcomes the main drawback with desktop office.

Anyways the google doc offline access does lack some more. I think for offline access, should be selective. What I meant was I can select file from the docs and only those file need offline access there by the syncing time can be drastically reduced.

This entry is part 2 of 3 in the series google reader tips

Google reader is one of the best applications by google to read your favorite blog’s or sites. Slew people are using this service regularly like a newspaper. Frankly speaking I am addicted with google reader. A couple of months back google released there off line version of google reader. Those who don’t have internet access every time, this is the ultimate solution. You can go online and download the data and you can then go off line and read at your own time. Let me explain the steps to make your google reader off line.

    Step 1)

Click on the link on your top right corner of your google reader with anchor text offline near your sign out link. If you haven’t installed google gear it will show a popup to install google gear. After installing google gear you are entitled to ask another popup like below.

    Step 2)

After allowing the google reader as a trust application to google gear your reader will show a green icon on the top right.

    Step 3)

After clicking on the icon the google gear starts downloading content to local machine for off line access. Basically the process is very sluggish. Don’t worry we don’t need to bother about it for a while.

    Step 4)

Your google reader is now offline.

    Step 5)

Make your offline reader online to read latest feeds. For this, click on the blue icon on the top right. It will start synchronizing.

hey don’t be baulked to try this, cos it is cool stuff. It is worth enough for trying.

Some of you people can’t see this feature, don’t worry it will be soon live with you as well.

    google docs

One of the best web 2.0 application now available online is google docs. A lot of Microsoft office users are now using google doc instead, for document preparation. The main attractive feature that distinguish it from office is the sharing mechanism. We can easily share the document, where as office doesn’t have such support since it is not online.

One of the main problem google doc faced was, it need internet connection even for editing the document. Since most of the google document users migrated from Microsoft office, they really want google docs to be offline. Yes google recognized the need. Now we can edit google document even while you are offline. Google uses google gear for this. I mentioned about google gears in one of my post.

With the help of google gear we can edit the document any time and whenever we go online it will be updated with the server. Watch out the youtube video and see how its works.

Normally one of the main problem while using mobile web applications is the connection troubles rather than that latencies in the data network also affects application performance. Googles initiative google gears mobile solves this problem by making the mobile web application that can also work in off line mode. Google gears  is now available for internet explorer in windows mobile 5 and 6.

Then we probably get the doubt how data can be stored when the application is off line. The solution is, it use local store and when the device get online the data will be synced with server. Google gears use 2 types of syncing mechanism manual and background syncing.
